# Switching from Other Software

> Step-by-step instructions for exporting your data from other salon, spa, clinic and wellness booking software so you can import it into Bella Booking.

## Free migration service

<Tip>
  **We'll do it for you — free of charge.** Don't want to deal with exports and spreadsheets? Send us your data in any format — CSV, Excel, a raw export from your current software, even screenshots of your service list — and our team will clean it up and import everything for you within one business day.

If you prefer to do it yourself, follow the instructions below for your current software. Export your **clients** and **services**, then bring them in with our [CSV import tool](/clients#3-importing-clients-csv-upload) or email the files to us.

## What to export

<Warning>
  **We recommend starting fresh without old appointment history.** Importing past appointments can trigger unintended automated messages (reminders, follow-ups) to your clients and cause data inconsistencies. Your **clients** and **services** are the essential data — that is all you need for a clean start.

  If you do want some recent history carried over, export only a tight range (e.g. the last 3 months) and let our team handle the import. We will ensure no notifications are sent accidentally.

<Tip>
  **Can't export from your current software?** Don't worry — we can work with anything. Screenshots of your service list, a link to your public booking page, a photo of your price board, a spreadsheet you typed up yourself, even a voice note listing your services. Send us whatever you have and we will build your account from it.

Not every platform makes all of these easy to export. The instructions below tell you exactly what is available for each.

## Fresha

<Note>Last verified: June 2026</Note>

### Clients

1. Go to **Clients** > **Clients list**
2. Click **Options** (top right)
3. Under **Export**, choose **CSV** or **Excel**

You will see an "Export is being processed" message — Fresha emails the file to your account's email address.

Team members need the **"Can download clients"** permission.

### Services

1. Go to **Catalog** > **Service menu**
2. Click **Options** (top right)
3. Choose **Download CSV** (or **Download Excel** / **Download PDF**)

This file downloads directly in your browser.

### Products (optional)

1. Go to **Catalog** > **Products**
2. Click **Options** (top right)
3. Under **Export**, choose **CSV** or **Excel**

As with clients, Fresha emails the file to your account's email address.

### Appointments (optional)

1. Go to **Reports** and select a report (e.g. Sales Summary)
2. Click **Options** > choose **CSV** or **XLSX**
3. Set a tight date range (e.g. last 3 months)

Team members need **"Access reporting"** permission for report exports.

## Vagaro

<Note>Last verified: April 2026</Note>

### Clients

1. Go to **Reports** > **Customers** > **Customers**
2. Click **Run Report**
3. Click the **Action menu** (top right) > **Export Excel**

<Warning>Only the business owner can export the client list. This is not available to employees, even with elevated access.</Warning>

### Services

1. Go to **Settings** > **Employees** > **Employee Profiles**
2. In the employee's **Status** column, select **Services**
3. Click **Download** > choose **Excel**

<Note>Services export is per employee — there is no single bulk export. Repeat for each team member, or contact Vagaro support to request a combined export.</Note>

### Appointments (optional)

1. Go to **Reports** > **Appointments** > **Appointments Summary**
2. Set a tight date range (e.g. last 3 months)
3. Click **Export** or use the **Action menu** > **Export Excel**

## Phorest

<Note>Last verified: April 2026</Note>

### Clients

Phorest does not offer a single "export all clients" button. You have two options:

**Option A — Email addresses only (marketing opt-in clients):**

1. Go to **Marketing** > **Client Export**
2. Click **Emails (CSV)**

**Option B — Per-client export:**

1. Go to **Clients** > search for a client
2. Click **Client actions** > **Export**
3. Downloads a ZIP with contact details, appointment history, and notes

For a full client list, contact Phorest support or use our free migration service — we can also work from screenshots or whatever partial data you have.

### Services

1. Go to **Manager** > **Services** > **Export all services**

For multi-location businesses, this exports services for the currently viewed location only. Repeat for each location.

### Appointments (optional)

1. Go to **Manager** > **Business** > **CSV Export**
2. Click **+ New Export**
3. Set a tight date range (e.g. last 3 months)
4. Click **OK** — processing takes approximately 15 minutes
5. Return to the CSV Export screen; when status shows "Done", click the download icon

## Timely

<Note>Last verified: April 2026</Note>

### Clients

1. Go to **Reports**
2. Select **Customer List** from the report dropdown
3. Click **View Report**
4. Click **Download** > choose **CSV**

### Services

There is no self-service export for the service menu. You can request a **full data export** from Timely support (takes up to 48 hours), or simply send us a screenshot of your service list or a link to your Timely booking page — we will re-create your services from that.

### Full data export (alternative)

Timely offers a complete data export on request:

1. Submit a help form via the Timely help centre requesting a data export
2. You will receive an email with a secure download link within 48 hours

### Appointments (optional)

1. Go to **Reports**
2. Select an appointment report (e.g. **Appointment schedule**)
3. Set a tight date range (e.g. last 3 months)
4. Click **View Report**
5. Click **CSV** (or Excel, Word, PDF)

## Square Appointments

<Note>Last verified: April 2026</Note>

### Clients

1. Sign in to **Square Dashboard**
2. Go to **Customers** > **Customer directory** > **Directory**
3. Click **Import/Export** > **Export customers**
4. Choose **All Customers** or specific groups
5. Click **Export**, then **Download** (CSV)

### Services

Square Appointments does not have a native service list export. As a workaround, you can convert your services to items first, then go to the **Items** section and click **Actions** > **Export Library**. Alternatively, send us a screenshot of your service list and we will re-create it for you.

### Appointments (optional)

1. In Square Dashboard, go to **Appointments**
2. Click **Settings** > **History**
3. Click **Export** (CSV)

## Shortcuts

<Note>Last verified: April 2026</Note>

### Clients

1. Go to **Tools** > **Marketing**
2. Select the fields you want to include
3. Click **Compute**, then **Done**
4. Save the file (exports as a TXT file)

To convert to CSV: open the TXT file in Excel, select **Comma** as the delimiter in the import wizard, then save as Excel or CSV.

### Services

There is no documented export for the service menu. Contact Shortcuts support to request your service list, or send us a screenshot of your services screen or a link to your online booking page — we will set up your services from that.

### Appointments (optional)

Shortcuts reports can be exported as **PDF only**. There is no documented CSV or Excel export for appointment data. Contact Shortcuts support if you need a data extract.

## Kitomba

<Note>Last verified: April 2026</Note>

Kitomba does not offer self-service data export. To get your data, contact Kitomba support directly:

* **Australia:** 1800 161 101
* **New Zealand:** 0800 161 101
* **Email:** [support@kitomba.com](mailto:support@kitomba.com)

Request exports of your **client database** and **service list**. Under the Australian Privacy Act, you are entitled to a copy of your data.

**Can't get your data from Kitomba?** Send us whatever you have — a screenshot of your client list, a photo of your price board, a link to your public booking page, or even a typed-up list. We will build your Bella Booking account from it.

## Mindbody

<Note>Last verified: April 2026</Note>

### Clients

1. Go to **Reports** (top navigation)
2. Select **Mailing Lists**
3. Change "Clients Opt-In Status" to **All Clients**
4. Click **Generate**
5. Click the **Export to Excel** button to download

Exported fields include first name, last name, phone number, and email address. For additional fields, use the **Advanced Client Lookup** report under Reports.

### Services

There is no self-service export for the service menu. Mindbody offers a paid **Subscriber Data Export** (approximately \$500 USD), but you do not need to pay for that — just send us a screenshot of your services screen or a link to your booking page and we will re-create your services for free.

### Appointments (optional)

1. Go to **Reports** (top navigation)
2. Select **Schedule Report** > **Schedule at a Glance**
3. Set a tight date range (e.g. last 3 months)
4. Click **Generate**, then **Export**

## Booker

<Note>Last verified: April 2026</Note>

### Clients

1. Go to **Customers** > **Manage Customers**
2. Click **View All Customers**
3. Under **Filters**, select the data fields you want included
4. On the left sidebar, click **Export to a .CSV file**
5. Click **OK** and download the file from the **Customer Exports** section

A confirmation email is sent to the account owner when the export completes.

### Services

There is no dedicated service menu export in Booker. Contact Booker support for assistance, or send us your service list in any format (even a screenshot) and we will set it up for you.

### Appointments (optional)

1. Click **Appointments** > **Find Appointment**
2. Click **Customize View** and set a tight date range (e.g. last 3 months)
3. Choose the columns you need
4. Save the view and export

## Acuity Scheduling

<Note>Last verified: August 2026</Note>

### Clients

1. Go to **Clients**
2. Click **Import/export**, then **Export client list**
3. Use the dropdown to choose which group to export — **All clients**, or a subgroup based on how recently they booked
4. The file downloads as a CSV

### Services

There is no service menu export in Acuity. Send us a link to your Acuity booking page, or a screenshot of your appointment types, and we will rebuild your menu with prices, durations and add-ons for free.

### Appointments (optional)

1. From the same **Import/export** menu, click **Export appointments**
2. The CSV includes intake form responses when a form is selected

<Note>If you sell packages, subscriptions or gift certificates (Standard plan and above), write down the outstanding balances before you close your account. Bella has packages, memberships and gift cards to recreate them in — but only if you have the list.</Note>

## Ovatu

<Note>Last verified: August 2026</Note>

### Clients

1. Go to **Customers** > **List**
2. Click **Export as CSV** (bottom right)

This gives you contact details for every client.

### Services

There is no service menu export. Send us a link to your Ovatu booking mini-site or a screenshot of your services and we will rebuild the menu for you.

### Sales and balances (optional)

1. Go to **Sales** and use the CSV export for your transaction history
2. Separately, list any unredeemed **Passes** and gift cards with their remaining balance and expiry — Bella has prepaid packages and gift cards to recreate them in, but only if you take the list before you close the account

<Note>Menus differ slightly between **Ovatu Next** and the older **Ovatu Classic**. If what you see does not match, send us a screenshot and we will point you to the right place.</Note>

## Cliniko

<Note>Last verified: August 2026 (from Cliniko Help — Data exports). Administrator access required.</Note>

<Tip>
  Switching from Cliniko (or another clinical PMS) for **booking and payments only**? Bella is not a drop-in Cliniko replacement for Medicare claiming or clinical notes. Export your clients (and rebuild services), then keep clinical documentation in Cliniko or your chosen PMS if you still need it — or send us the export and we will import clients free of charge.

### Clients

1. Go to **Settings** → **Data exports**
2. Choose **Patients** as the data type
3. Set the date range to **Any time** → **Any time** if you want the full list (the date fields filter by when patients were created in Cliniko)
4. Click **Export data**, then download the CSV when it is ready

### Services

Cliniko does not always expose a single “service menu” spreadsheet the way salon software does. Either:

* Export the closest catalogue/billable-items data available under **Settings** → **Data exports**, or
* Send us a link to your public booking page / a screenshot of your appointment types and we will rebuild the menu

### Appointments (optional)

We recommend **not** importing old appointment history (see [What to export](#what-to-export)). If you need a recent slice for reference only, use Cliniko's appointment/attendees exports with a tight date range and let our team import without triggering notifications.

## Nookal

<Note>Last verified: August 2026. Nookal menus vary by region and role — if steps do not match, use the free migration tip at the top of this page.</Note>

<Tip>
  Nookal is allied health practice management. Bella covers scheduling, payments, packages, and forms — not Medicare/HICAPS claiming or clinical charting. Export clients (and rebuild services), then keep claiming in Nookal or offline if you still need it.

### Clients

Nookal documents a client-details export (see their help article **Exporting a List of Client Details**). Typically:

1. Open **Clients** (or **Setup** / reporting tools, depending on your role)
2. Run the **Client Data** / client list export for the whole practice — not only a single provider's patients, unless that is all you need
3. Download the CSV/Excel file they generate

Account owners may need to approve provider-scoped exports. If you cannot find the export, ask Nookal support for a full client list, then send it to **[hello@bellabooking.com](mailto:hello@bellabooking.com)**.

### Services

There is often no one-click service-menu export. Send us your public booking link, a price list, or screenshots of appointment types and we will rebuild the catalogue.

## Jane App

<Note>Last verified: August 2026 (from Jane App Help — Patient List report). Account Owner or Full Access required.</Note>

<Tip>
  Jane is built for health and wellness practitioners with clinical workflows. Bella is a better fit when you mainly need booking, payments, packages, and forms without clinical PMS overhead — not as a Jane charting/billing replacement.
</Tip>

### Clients

1. Go to **Reports**
2. Under patient/client reports, open **List**
3. Apply any filters you need (or leave unfiltered for everyone)
4. Click the **⋯** (three dots) on the report → **Export to Excel** or **CSV**
5. Download the file when it is ready

### Services

Jane does not always provide a simple service-menu CSV. Send us a link to your Jane booking page or a screenshot of your treatments and we will rebuild the menu in Bella.

### Charts and clinical notes

Do **not** expect Bella to import Jane charts, SOAP notes, or intake templates. Keep clinical records in Jane (or export via Jane support for archival) if you still need them.

## Client Diary

<Note>Last verified: August 2026</Note>

### Clients

Client Diary documents a transaction export but not a client-list export. Contact their support and request a copy of your client records, then send us whatever they provide.

### Services

Send us a link to your Client Diary booking page or a screenshot of your services and we will rebuild the menu, including your retail products with SKUs and barcodes.

### Transactions and balances (optional)

1. Open the **Reports** menu
2. Click **Export Tools**
3. Choose your date range and press **Export** — the spreadsheet saves to your Downloads folder

Also list any unredeemed online vouchers, client account balances and reward point totals before you close the account. Bella has gift cards, client credit and a loyalty programme to recreate them in — but only if you have the list.
