Introduction

Sometimes a client pays with more than one thing. They hand over some cash and want the rest on their card, or they’ve been given money towards a treatment and want to cover the difference themselves. Split payments let you take the whole balance on one sale, in as many payments as you need. Everything stays together: one receipt, one entry in your sales history, one set of totals in your reports.

Taking a split payment

Split payments work the same way in two places — appointment Checkout and Add sale for a walk-in or retail sale.
  1. Ring up the appointment or sale as usual. Apply any discount, gift card, package or client credit first — those come off the bill before you start taking payments.
  2. Under the payment method, choose Split across multiple payments.
  3. Click Add payment.
  4. Pick the method for this payment, type the amount, and click Add payment. Use Rest to fill in everything that’s left.
  5. Repeat until Left to collect reaches zero.
  6. Click Complete sale.
Rest is the quickest way to finish. Take the awkward amount first — the cash a client happens to have — then hit Rest on the second payment and the balance fills itself in.
If you decide you’d rather take the whole thing one way after all, choose Pay with a single method to go back. Any payments you’d staged are cleared.

Which methods can be combined

Any combination of:
  • Cash
  • Card (Manual) — a card run on your own terminal, recorded here for your books
  • Other — bank transfer, voucher, and so on
  • Card on File — the client’s saved card, charged by Bella
Gift cards, prepaid packages, memberships and client credit are not payments you add here. They come off the bill automatically before you start, exactly as they always have — so what you’re splitting is whatever is genuinely left to collect.
One Card on File payment per sale for now. Everything else can be combined freely, as many times as you need.

Removing or changing a payment

Nothing is charged until you click Complete sale, so you can rearrange freely up to that point:
  • Click the × beside a payment to remove it. Left to collect goes back up.
  • Wrong amount? Remove the payment and add it again.
If a card is declined, the sale is not completed and nothing is charged. Your other payments stay on screen — remove the card payment, take the balance another way, and complete the sale.

Processing fees on a split

If you pass processing fees to clients, the fee applies to the card payment only — never to the cash. Take a 180billsplitas180 bill split as 60 cash and 120oncard:thefeeisworkedoutonthe120 on card: the fee is worked out on the 120. The card is charged 120plusthatfee,thecashstays120 plus that fee, the cash stays 60, and the bill is settled in full. The fee is shown against the card payment as you stage it, so you can tell the client the exact figure before anything is charged.

Receipts

The receipt shows one line per payment, in the order you took them, with the fee on the card payment shown beneath it. If a deposit was paid earlier, it keeps its own line above them. The client gets the same receipt they always would — emailed automatically, sendable on demand from the sale, and printable or saveable as a PDF.

Finding a split sale later

In your Sales list the Payment column shows the combination — for example Cash + Card on File. Filtering by payment method finds a sale by any of its payments. Filter by Card on File and you’ll see every sale that was part-paid by card, including ones that were mostly cash. The same combination appears on the sale detail page, on the client’s Payments tab, and on the appointment once it’s checked out.

Refunds

Refund a split sale from the sale detail page exactly as you would any other. The refund goes back to the card that was charged, up to the amount that card actually paid; the rest is returned however you agree with the client. See Refunds for the full process.

Reports

Every payment is counted separately in the payment breakdown of your Sales summary report. A 60cash+60 cash + 120 card split adds 60totheCashcolumnand60 to the Cash column and 120 to the Card column — so your end-of-day totals reflect what actually went in the drawer and what went to your card processor.

Correcting a split sale

A completed sale settled with a single cash, manual-card or Other payment can have that label corrected afterwards on the sale detail page. A split sale can’t — real money moved through more than one route, so relabelling it would misstate your books. Refund the sale and take it again instead.

Frequently asked questions

Not yet. The balance has to reach zero before a sale can be completed. If a client needs to pay in stages, take a deposit on the appointment first and settle the remainder at checkout.
Not yet — one Card on File payment per sale. You can pair it with cash, Card (Manual) or Other, and a second card run on your own terminal can be recorded as Card (Manual).
Enter only what the sale needs — the amount can’t exceed the balance — and give the difference back as change.
Only for the card payment, and only that payment’s amount. Cash, Card (Manual) and Other never reach a card statement.
Not currently. Online booking takes one payment method. A client can pay a deposit online and split the remaining balance with you at the counter.
